Payment

Bywaters Media delivers photos and floor plans the next day, video within 24–48 hours, and Matterport tours within 2–3 days. Timelines for custom or specialized projects are confirmed at booking.

Businesses – Assets are provided with an itemized bill and payment is expected within 7 days.  Billing reminders are sent after 7 days.  Payment is considered late after 30 days and delinquent after 60.

Photo Rights & Usage

All photography and created media can be used without restrictions by the original client or company that requested and paid for our services.

Photographers own the rights to their photography as per US copyright law (for more information, please visit the United States Copyright Office website.)

Photography is non-transferrable.  If a property’s ownership is transferred and the new ownership wishes to purchase the copyright from us, please contact us.  We would love to work with you!

Rescheduling / Cancellation

You are welcome to cancel a booking with 48 hours notice at no cost!

We do, however, charge 50% of the project value or minimum $75 (whichever is higher) for missed / abortive appointments or cancellation with less than 48 hours notice.  

Matterport Space Hosting

Matterport Spaces (tours) are hosted by Matterport in the “Matterport Cloud.”  Bywaters Media is a Matterport Service Partner, for spaces we have captured we provide discounted hosting services to our clients.

Pro3 scans –  General hosting is $149 per space for an additional 12 months. For preferred* customers we include 6 months of free hosting with each space thereafter we charge $100 per space for an additional 12 months of hosting billed annually.

New Matterport Captures (New  Multi Family Communities)

6-Month Introductory Free Hosting: Every new Matterport tour captured for a community comes with free hosting for the first 6 months from the delivery date.

Designation of Annual Hosting Month: At the end of the initial 6-month period, the month in which the free hosting ends is adopted as the community’s regular annual hosting renewal month. Due to the rolling nature of space additions, any additional spaces captured and delivered prior to the designated renewal month will effectively benefit from complimentary hosting up until the next billing cycle. As a result, depending on the timing of subsequent orders, customers may receive up to 11 months of free hosting for those spaces before their first annual hosting invoice is issued.

Example: If a community’s first Matterport tour is delivered on January 10th, free hosting applies until July 10th—making July the annual hosting month. Consequently, additional spaces captured later in the year (for example, in August, September, or October) will continue to enjoy free hosting until the following July invoice is issued. 

Transferred Spaces

Immediate Hosting Charges: For spaces transferred into the customer’s account (from another vendor or party to Bywaters Media), the free hosting benefit does not apply.

Billing Cycle: Hosting fees for these transferred spaces are due in the month of transfer and will be reflected on the subsequent monthly or annual hosting invoice, as per the customer’s billing cycle.

If hosting is terminated or expires, we archive the tour.  Archived tours cannot be viewed, but can be restored and transferred to a new (clients own) hosting account upon payment of any past due and transfer fees.  Archived spaces do not incur additional fees. Fee for transfer to an alternative Matterport hosting account is $100 per space and due prior to transfer. Fee to unarchive including 12 months hosting is $95.
